What a small office network should look like in 2026

The parts of a well-built 5 to 15 person office network: rack, gateway, PoE switch, access points, VLANs, UPS and labelled cabling, explained plainly.

We see a lot of small offices running on a shelf. Literally: an ISP modem, a consumer router from a big-box store, a couple of unmanaged switches daisy-chained under someone's desk, and a nest of unlabelled cables nobody dares touch. It worked fine at three staff. At ten, with phones, cameras, a printer that keeps vanishing, and guests on the same Wi-Fi as the accounting PC, it's a slow-motion problem.

Here's what a properly built network for a 5 to 15 person office actually contains, and why each piece earns its place.

A small rack, in a sensible spot

Not a server room. A wall-mounted rack or cabinet, often 6U to 12U, in a utility room or closet with power and a bit of airflow. Everything network-related lives in it: the ISP handoff, the gateway, the switch, a patch panel, and the UPS.

The rack isn't about looking professional (though it does). It's about every cable having a home, every device being reachable, and the next person, including future you, being able to understand the setup in five minutes. If your current wiring makes you nervous, that's usually the first fix; it's most of what our network rack cleanup visits deal with.

A real gateway, not a home router

The gateway (router/firewall) is where your office meets the internet. A business-grade unit gives you things a home router doesn't: multiple networks, proper firewall rules between them, VPN access for remote staff, and visibility into what's actually using your bandwidth.

It doesn't need to be exotic or expensive. It needs to be capable of separating traffic and staying updated. This is also where a backup internet connection plugs in, if your business can't tolerate an outage afternoon.

One PoE switch instead of a pile of little ones

Power over Ethernet is the quiet workhorse of a modern office. One managed PoE switch powers your access points, desk phones and cameras over the same cables that carry their data. No wall warts, no power bars zip-tied to shelves, and when something locks up you can power-cycle it from your chair.

A managed switch also enables the next item.

VLANs: keep guests, cameras and payments apart

A VLAN is just a way of splitting one physical network into separate logical ones. In a small office we typically want at least: staff, guest Wi-Fi, phones, and cameras or other devices. Guests get internet and nothing else. Cameras talk to their recorder and nothing else. If a visitor's laptop is riddled with malware, it can't see your file server, because the network itself won't let it.

This isn't enterprise overkill. If you take card payments, segmentation is close to mandatory. For everyone else it's cheap insurance that costs configuration time, not hardware.

Wired access points, placed on purpose

Office Wi-Fi should come from ceiling-mounted access points wired back to the switch, not from the router in the closet. A typical small office needs one to three, placed for coverage rather than convenience. The same reasoning applies here as in houses; we covered why a single strong router disappoints in our post on router upgrades, and offices with concrete, coolers or long floor plates are worse, not better.

A UPS and labels: the unglamorous essentials

A small uninterruptible power supply keeps the gateway, switch and modem alive through the flickers and brief outages that a Norfolk County winter reliably delivers. Phones and Wi-Fi stay up, sessions don't drop, and equipment isn't hard-rebooted a dozen times a year, which is when it tends to die.

And labels. Every cable, both ends. Every patch panel port mapped to a jack. A one-page diagram taped inside the rack door. This costs an hour and repays it the first time anything goes wrong.

What it costs: mostly effort, not dollars

Hardware for all of the above sits well below what most owners guess, typically comparable to one or two months of a single employee's wage for the whole build. The real investment is effort: planning the VLANs, running or tidying the cabling, configuring the gateway, and documenting it. That's a few focused days done once, versus years of intermittent Wi-Fi complaints, mystery outages and "don't touch that switch" folklore.

Done properly, a network this size then mostly disappears. Staff stop thinking about it, which is the entire point.
